-Become a Member of the Web & Tech Team-
Dear ~~first_name~~:

The Web & Tech Team is looking for league members who would like to volunteer to help with and maintain the LWVPBC website. Members will regularly evaluate the website and assist with updates, changes, and procedures.

You do not need to be a tech professional but should have basic computer skills and a curiosity to learn the specifics of the ClubExpress platform. HTML and programming skills are not required at any time. Training will include an introduction to the ClubExpress dashboard (control panel) and performing specific functions on the ClubExpress platform and/or in the Zoom dashboard.

The plan is to have a team of league members, each person managing just one item, unless the member chooses additional tasks to learn. Team members will choose which of the tasks they wish to learn. I anticipate that each team member will only spend 5-15 minutes per week on tasks. Below is a list of some of the skills needed and tasks that are performed periodically.

Examples of skills and tasks:

Excel Reports – most ClubExpress reports are automatically created as PDF and CSV files. The CSV files can be easily saved as an Excel file and the data sorted and presented so it is useful to the various team chairs. Team members who do this should already be familiar with Excel, including performing sort functions.

Calendar Entries – these are made through a series of prompts so the user can add a title, day, time, additional text info, and sometimes a Zoom link.

Email Blasts – these are a little different than sending a typical email from your personal account. Users will be taught how to access the league’s email template and how to add text, select groups of recipients from drop down lists, and send yourself test emails to verify that the new email looks as intended.

Graphics – flyers are routinely created in Canva (free version) for Hot Topic Luncheons, Taste of the League meetings, and other announcements. Some of the formats are repeated with simple changes to colors, fonts, and descriptions. Other graphics are created from scratch. Members interested in helping to create and/or modify flyers should have familiarity with creating flyers in Canva, including changing colors and fonts.

Login Assistance – some members may need assistance with the website’s login procedure. Often the help needed is just for a website admin to click a link to reset a member’s password. That will send the member a new temporary password and step-by-step instructions how to change their new temporary password to a permanent password. Familiarity with various web browsers (e.g. Firefox, Chrome, Safari) will be helpful but is not required.

Creating Full Events – this process includes creating a new custom page, often by copying an existing custom page and then making changes to it. It includes linking to graphics and creating a full Event page. It is one of the lengthier tasks on the website. It is not difficult to do, but it entails several steps, and can take as long as 20 minutes to complete and test. The results are similar to the landing pages you see for Hot Topic Luncheons and the links to register for the event.

Zoom Dashboard – meeting links are created in the Zoom dashboard. Most meetings are recurring and already exist, although there is always a need to cancel or change meeting dates, and to add single meetings. The Zoom “invitation” is usually copied and shared either via email or posted on the website.

I encourage League members who have an interest in or who have questions about the Web & Tech Team to send me an email or call me. My contact info is available in the Directory of Members.
